Colets - Pitch Hire Terms & Conditions

These Terms & Conditions apply to all pitch bookings at Colets. By booking with us, you’re agreeing to the following:

1. Booking Confirmation & Hire Agreement

  • All bookings remain provisional until confirmed by Colets.

  • A signed Hire Agreement must be completed and returned before your first session.

  • Prices are set out in the Hire Agreement and vary depending on pitch size, format, duration, and day of the week.

2. Invoicing & Payment

  • One-off bookings – You’ll receive an invoice after your booking, which must be paid within 30 days.

  • Regular/long-term bookings – Invoices will be sent monthly, covering all sessions in that month, and must be paid within 30 days.

  • Please note: late payment may result in future bookings being suspended and/or additional charges.

3. Cancellations

  • Cancellations must be made at least 48 hours in advance.

  • Bookings cancelled with less than 48 hours’ notice will be charged in full.

  • In exceptional circumstances (e.g. severe weather, maintenance, or safety issues), Colets may cancel bookings. Where possible, we’ll offer an alternative slot; otherwise, no charge will apply.

4. Use of Pitches & Facilities

  • Pitches can only be used for football, rugby, cricket, or other activities agreed in advance with Colets.

  • Included in hire:

    • Changing rooms, showers, toilets, and access to Basil’s Bar.

    • 11-a-side goals on Football Pitch 1 and Pitch 2.

    • Standard set-up for cricket and rugby pitches.

  • Please note: equipment such as balls, bibs, cones, and training aids are not provided unless agreed beforehand.

  • Studded boots/shoes must not be worn inside indoor facilities, including changing rooms, toilets, the balcony, or Basil’s Bar.

5. Check-in Procedure

  • On the day of hire, the team captain or organiser must check in at Main Reception before play and sign in on behalf of the group.

6. Conduct & Safety

  • The hirer is responsible for the behaviour and safety of all players, coaches, officials, and spectators.

  • Abusive, antisocial, or unsafe behaviour will not be tolerated and may result in termination of the booking without refund.

  • All participants must wear appropriate footwear and use suitable equipment.

7. Damage & Responsibility

  • The hirer is responsible for any damage caused to pitches, equipment, or facilities during the booking.

  • Additional charges may apply for repairs, replacements, or extra cleaning.

8. Liability

  • Use of Colets facilities is at the hirer’s and participants’ own risk.

  • Colets cannot accept liability for personal injury, loss, or damage to personal belongings, except where caused by our negligence.

  • Teams are encouraged to arrange their own insurance.

9. Force Majeure

  • Colets will not be held responsible for disruption, cancellation, or non-availability caused by events beyond our reasonable control (such as severe weather, power failures, or government restrictions).

By confirming your booking, you accept these Terms & Conditions and agree to return the signed Hire Agreement before your first use.
